Download this Web Approval Form, fill it out and ideally submit it by email (see button on the form) for the fastest response. Be warned the file is large >1MB and will require Adobe Acrobat Reader which is freely downloadable. You may also print a hard copy and bring it to a Troop meeting - we still prefer forms filled out on the website & then printed/signed for the best possible legibility. Deliver signed forms to the Troop Secretary or the Scoutmaster.

Contact Information:

Phone contact information is posted in freely accessible areas only for a few key Adult Leaders to facilitate general outside communication to the Troop.

All other contact information (names/roles/phone numbers/email aliases) for other Adult Leaders & for Scouts in the Troop are posted only in password protected areas of the site and only after permission has been received from Adults/ Parents/ Guardians. We recommend that contact information provided for Scouts be one of the parents/guardians contact information (phone & email) so they can monitor communications. All posted email addresses will be Troop email aliases for better protection. Youth Leadership roles include elected & assigned positions see details on the Troop278 site. Once permission is granted it remains in effect unless it is later revoked.

Use of Photographs on this Site:

This site does not use a large number of photographs, the focus of the site is reference material, but using some photos adds interest to the site. Photos of Scouts will only be identified by activity, location, date and/or a humorous caption and will typically be group activity shots. Adults appearing in photos will in general be treated the same. In the password protected area of the site photos of adults in Troop leadership positions will be identified by last name only e.g. 'Scoutmaster <lastname>', 'Mr/Ms <lastname>, (no family associations are to be made). From a purely practical perspective photos where Scouts are not individually recognizable may be posted without specific permissions (e.g. rearward views, very small size etc).

Gathering of Information:
 

We do not directly gather any information on this site... Contact information you send in via email will be used on the site only within the above guidelines. If you wish to send in materials for publication, ensure none is copyrighted to others, sending that material to us constitutes your approving our publication of the material - you may still retain copyright to it by visibly labeling as such. If you send photos in to Troop leaders or the Troop Historian, for use at Court of Honors etc we assume you are also giving your permission for their publication on the troop Website under the above noted conditions.

Blanket Release Policy:
 

Since our Troop is large - maintaining the necessary approval lists is logistically very complicated. To address this we will ask Scout Parents for pre-approvals for the above cases - with the option to later revoke approvals. We hope/expect most parents will accept the policy statements and access safeguards we have put in place.

Secure Website Pages & Documents: 

Most of our website of over 180 pages is open to general public access - however we maintain about 15 pages in a password protected ('secure') site for the contact listings and other private Troop information as listed above.

The secure site also acts as a repository for many Troop documents like newsletters, committee minutes and trip flyers that are referenced/linked directly from the public pages but are also password protected since they contain contact information, full names, email aliases or addresses.
